Groups
Use the Cohort Groups screen to organise and filter your learners into bespoke groups.
It can be accessed by clicking the Groups option on the ILP Admin screen.
Use the Cohort Groups screen to:
To filter the list of groups, you can select from the following two drop-downs:

Organisation Unit - allows you to select owning or offering organisations, which filters learners who have an enrolment that falls within the current year with that organisation

Search all categories - use this to search for the name of the group or organisation unit to which it belongs

Click the Create cohort button.
Alternatively, click the ⋮ drop-down menu of the relevant record and then click the Edit option.
Note: You can filter the groups to locate a specific group, if required.
The Create cohort group or Edit cohort group screen is displayed.
- Enter a Group name (mandatory) and Group description (if required).

If required, select the owning or offering organisation from the Organisation Unit drop-down.
Note: If you need to edit this field, you must delete any filters first.

Add as many filters as required to specify which learners are included in the group by selecting from the Add filters to select learners drop-down list and then clicking the Add button. These can be edited on the Filter Definitions (ILP) reference data screen in ebs: central.
Note: You can only select each filter once. If you want to select Course Class Name, Course Code or Tutor Group, an organisation unit must first be selected.
A tag is added underneath the drop-down.

Select or enter the value required in the tag's field.
The number of learners that meet the filter criteria is described at the bottom of the screen.
The names and person codes of the learners can be viewed by clicking the Show learners button.
Note: You can use the Find learner field to enter a learner's name to ensure that they are included or excluded, if required.

Click Save.
To save time, you can duplicate a group by clicking the ⋮ drop-down menu of the relevant record and then click the Duplicate option.
The record is added immediately and the new group's name is appended with '[COPY]' by default.
Groups can only be deleted if they are not associated with an ILP.
To delete a group:

Use the filters to locate the relevant group record, if required.

Click the ⋮ drop-down menu of the relevant record and then click the Delete option.
Note: The Delete button is not displayed if the group is associated with an ILP.
A confirmation message is displayed.
